Job Title:                    Deputy Director
Reports to:                 Executive Director
Supervises:                Facility management staff, volunteer coordinator, ................................marketing intern
Job Category:           Full-time, permanent

RESPONSIBILITIES
Assist and support the Executive Director with overall Arboretum management.  The Deputy Director is also directly responsible for marketing and special event coordination. Duties include, but are not limited to:
Administration and Management
Assist Executive Director with the day-to-day administration and management of facility, as assigned.  Examples of duties include:

  • Oversight of facility management
  • Serving as member of Arboretum’s management team by participating in:
    • Policy Development
    • Strategic planning
    • Staffing decisions
  • Responding, as directed by the Executive Director, to various tasks and responsibilities as they arise
  • Serving as back-up in the absence of Executive Director

Special Event Coordination

  • Create, monitor and adhere to event budgets and timelines
  • Secure and organize vendor bids, from initial research through event completion
  • Serve as liaison between committee members, volunteers, sponsors and donors
  • Coordination of event mailings
  • Coordinate sponsorship solicitations and other revenue generating activities such as ticket sales, auction items, and in-kind gift procurement
  • Coordinate the logistical aspects of events (caterers, signage, permits, decorations) including coordination of event site visits with vendors, and managing event set-up and deliveries with the Facilities Department
  • Monitor and report on expenses and status of registration and ticket sales
  • Coordinate post-event activities including creating and mailing thank you and/or tax acknowledgement letters and assist with developing event recaps and analyses

 

Public Relations and Marketing

  • Oversee marketing and public relations. Work with Executive Director and Marketing Intern to produce annual marketing plan and budget. Efforts include, but are not limited to:
    • Website management
    • Press releases
    • Advertising

EDUCATION AND EXPERIENCE

  • Masters degree preferred
  • Three years of increasing administrative responsibilities

KNOWLEDGE, SKILLS AND ABILITIES

  • Excellent written, oral, interpersonal and customer service skills
  • Working knowledge of Microsoft word, Microsoft Excel, and Internet Explorer
  • Must be detail-oriented
  • Possess administrative, research and budgetary abilities
  • Creative and energetic personality (sense of humor is a plus) and ability to work in a team environment
  • Ability to establish priorities, follow-though and meet deadlines effectively and efficiently.
  • Must be available to work some weekends, evenings, and holidays
  • Must be available to attend first aid class
  • Must have a valid Arizona driver’s license

Salary negotiable. Start date July 1.
